Main purpose of the role

  • The Secretary holds a central position in the Worcester Group and keeps the group committee running effectively through good administration.

Personal Attributes

  • Well organised and reliable
  • An ability to build links and good relationships with other office holders.
  • Computer literate, comfortable with word-processing and the internet.
  • An interest in walking and an affinity with all the charitable aims of the Ramblers.
  • Role holders should be familiar with the requirements within the Data Protection Act and use their best endeavours to satisfy them.

Specific Tasks

  • Arrange group meetings and the AGM.
  • Gather together relevant documents from members e.g. previous minutes, reports from office holders, bulletins from central office and circulate to committee members in time for meetings.
  • Take minutes at group committee meetings and also the AGM if required, check the accuracy of the minutes with the committee and distribute to committee members
  • Ensure the final minutes are posted on the Worcester Ramblers website
  • Monitor the actions agreed at the last meeting to ensure that progress is being made.
  • Communicate regularly with other group officers to keep the committee business going smoothly.
  • Act as primary point of contact with central office, receiving relevant emails and acting on these accordingly.
  • Provide a focal point and distribution mechanism for unsolicited approaches to the Group from the general public and other organisations.
  • Maintain up-to-date records of group office holders.
